Privacy Policy

Smile Map is a design and record-keeping tool for tooth gem artists, operated by The Gemist Hub Academy. This policy explains what we collect when you join our launch waitlist, why we collect it, and the control you have over it.

What we collect

When you join the waitlist, we collect the email address you submit. We do not ask for your name, payment details, or any other personal information at this stage. When you browse the site, we and our service providers also process standard technical data such as your IP address, device and browser type, and how you interact with the page. Some of this is collected through analytics, described in Cookies and analytics below.

Why we collect it

We use your email address to:

• Send you a notification when Smile Map launches.
• Add you to the Smile Map newsletter, so you receive occasional product updates, tips, and announcements about the tool.

You can unsubscribe from the newsletter at any time using the link in any email we send. We will not sell your address or share it for anyone else's marketing.

Cookies and analytics

We use Google Analytics to understand how this page is used — for example, how many people visit and where they come from, measured in aggregate. We currently run it in a privacy-preserving mode that does not set cookies on your device and does not identify you personally. This helps us improve the page ahead of launch.

If we introduce cookies, or cookie-based analytics or advertising, in the future, we will update this policy and, where the law requires it, ask for your consent first. Blocking cookies in your browser will not stop you joining the waitlist.

How it is stored and who processes it

Your information is stored securely and is only accessible to the Smile Map team. We rely on a small number of trusted service providers to operate the waitlist and the site:

• Convex — secure database that stores your waitlist entry.
• Resend — email delivery service that sends your confirmation, launch notice, and newsletter.
• Google Analytics — measures site usage in aggregate to help us improve the page.
• Cloudflare — hosting and content delivery for this page.

These providers process data only on our behalf and under their own privacy and security commitments. Some of them store or process data on servers outside Australia, including in the United States. Where that happens, we take reasonable steps to ensure your information is handled consistently with this policy and applicable privacy law.

How long we keep it

We keep your email address for as long as you stay subscribed, or until you ask us to remove it. If you unsubscribe, we stop sending you email and remove your address from our active mailing lists. Aggregate analytics data is retained according to our analytics provider's standard retention settings.

Your choices and rights

You can unsubscribe from our emails at any time using the link in any message we send. You can also ask us at any time to access the information we hold about you, correct it, or delete it. To do so, email hello@smilemap.io and we will action your request. Depending on where you live, you may have additional rights under laws such as the Australian Privacy Principles or the EU General Data Protection Regulation. We honour those rights for all of our users.

Children

Smile Map is a professional tool intended for adult artists and is not directed at children under 16. We do not knowingly collect information from children.

Changes to this policy

We may update this policy as the product develops. When we do, we will change the date at the top of this page. The version published here is always the current one.
